THE WORKRATE GUIDE

Timesheet Calculator for Hours and Pay

WorkRate is a free online timesheet calculator that helps you calculate your shift hours and estimate your earnings in Australia. Enter your shift dates, start and finish times, unpaid breaks and hourly rates to see your estimated gross pay for the week or fortnight.

How to use the timesheet calculator

  1. Add your shifts: Enter the date, start time and finish time for each shift.
  2. Subtract unpaid breaks: Enter the length of your unpaid break in minutes.
  3. Customise your hourly rates: Set the weekday, evening, Saturday, Sunday and overnight rates that apply to your circumstances.
  4. Review your earnings: Check your paid hours and estimated gross pay for the selected week or fortnight.
  5. Export your timesheet: Download your shift details as a CSV file for your own records.
How are shift hours and pay calculated?

Your paid hours are calculated by subtracting unpaid break time from the total time between your start and finish times. Your estimated earnings are then calculated using the hourly rates configured in the calculator.

For example, an eight-hour shift with a 30-minute unpaid break gives you 7.5 paid hours. At a single hourly rate of $30, your estimated gross pay would be $225.

This example assumes one hourly rate applies throughout the shift. Your actual earnings may differ if different rates apply at different times.

How can I calculate weekly and fortnightly pay?

If you work multiple shifts, adding each shift to your timesheet helps you estimate your total paid hours and gross earnings over a week or fortnight.

WorkRate lets you switch between a weekly and fortnightly view, making it easier to review your shifts and keep track of your estimated earnings.

How do shift pay rates work in Australia?

Your hourly pay can depend on your employment agreement, applicable award, the day you work and the time of your shift. Some employees receive different rates for evening, overnight, Saturday, Sunday or public holiday work.

WorkRate allows you to enter your own hourly rates and configure time bands for your estimates. It does not automatically determine your award entitlements, so check your applicable employment conditions when confirming your actual pay.

Is WorkRate free?

Yes. WorkRate is currently free to use for calculating shift hours and estimating gross earnings.

Can I calculate my pay after unpaid breaks?

Yes. Enter your unpaid break duration in minutes, and WorkRate deducts it when calculating paid hours. The current calculation assumes the break occurs halfway through the shift.

Does WorkRate calculate tax?

No. WorkRate estimates gross pay before tax and deductions. Your take-home pay may differ depending on your tax and other circumstances.

Can I customise my hourly rates?

Yes. You can change the hourly rates and time bands used in your calculation to better reflect your employment conditions.

Does WorkRate automatically calculate award rates and overtime?

No. You enter your own rates. WorkRate does not automatically determine award entitlements or calculate every overtime, allowance or public holiday condition.

Can I export my timesheet?

Yes. You can export your shift details, paid hours and estimated gross pay to a CSV file.

Additional Timesheet Calculator Tips

When checking your timesheet, compare your recorded start and finish times with the hours you actually worked. Remember to account for unpaid breaks and check whether different hourly rates apply during your shift. A timesheet calculator can help you estimate your paid time and gross earnings before payday.

Your total hours may be displayed as a decimal, which is useful when estimating pay. For example, 7 hours and 30 minutes equals 7.5 decimal hours, not 7.30 hours. Multiply the paid hours by the applicable hourly rate to estimate gross pay, remembering that overtime, allowances and penalty rates may affect your actual earnings.

If you use WorkRate to keep track of regular shifts, export your timesheet and compare the results with your payslip. Employees can use these records to identify differences and ask their employer or payroll team for clarification when needed. WorkRate is a free estimation tool, not payroll software, so always check your employment conditions when confirming your entitlements.
